One policy for the website and the appWe do not sell your informationThe same rights wherever you live

The short version.

What it takes to fly you.

Contact and trip details, the passenger and ID details flight rules require, and records of what you paid.

Not for sale.

We do not sell your information or share it for advertising. We share it to run your flight, when the law requires it, or when you ask us to.

We measure how pages are used.

Analytics and session recordings show us where people get stuck. What you type is masked. You can turn them off.

Yours to see and delete.

Ask for a copy, a correction or deletion at any time, wherever you live. It costs nothing.

1What this policy covers

Citizen Air, LLC ("Citizen Air", "we", "us") is an FAA Part 135 air carrier based at William R. Fairchild International Airport, 1402 Fairchild Airport Rd, Port Angeles, WA 98363. This policy explains how we handle information about you. It covers:

  • flycitizenair.com , including the contact, quote and booking request forms.
  • The SoundPass app at app.soundpass.flycitizenair.com and soundpass.flycitizenair.com, for every level: Free, Household and Business.
  • The flights and services we provide: charter, cargo, flightseeing, SoundPass flights and empty legs, the FBO at CLM, flight training, aircraft rental and maintenance.
  • Calls, emails and messages with our team.

Where this policy stops

  • Sites and apps run by others, even when we link to them: Stripe's payment pages, social media, and the local businesses listed on Plan Your Stay. Their own policies apply.
  • A signed agreement, such as a fractional ownership, aircraft management or business agreement, can carry its own confidentiality terms. Where it protects you more, it applies.
  • Records about our own employees.

Our SoundPass Terms and Charter Terms are the contracts for your membership and your flights. Where they already set out how we handle your information, this policy points to the section instead of repeating it. This is the privacy policy for SoundPass referred to in Section 13 of the SoundPass Terms.

2What we collect

Most of it comes from you. Some comes from the people and systems that book and fly you.

When you browse the website or the app

Pages viewed, links and buttons clicked, scrolling, your device, browser and screen size, approximate location from your IP address, the page that sent you, and a recording of how you used the page with what you type masked. Section 5 has the detail.

When you contact us or ask for a quote

Your first and last name, email, phone number (optional), the service you are asking about, a subject and your message. For a quote, the trip details you give us: where, when, how many people, pets, bags or cargo. Your home ZIP or postal code, if you choose to give it.

When you create a SoundPass account

Your first and last name, email and phone number (optional), your membership level, and when you request and use a sign-in link.

When you become a Household or Business member

Your membership and billing details, the travelers on your account, your seating preferences and any referrals, as SoundPass Terms Sections 3, 4.11, 6 and 12.5 describe. For Business, the organization and its authorized representatives (Schedule B).

When you book or fly with us

The passenger, identification and trip details our terms require (SoundPass Terms Sections 6.1 and 13.1; Charter Terms, Documentation & Security, Pet Policy and Weapons), plus where your trip started (city or ZIP code), any assistance you ask for, and your history of flights with us.

When you pay

In the SoundPass app, cards are handled by Stripe and we keep a record of holds, charges, refunds and Flight Credits (SoundPass Terms Sections 6 and 7). For a charter, the card and ID copies listed under Payment Terms in the Charter Terms.

When you buy fuel or services at the FBO

The aircraft, the fuel and services you order, and your payment.

When you train, rent or have an aircraft maintained

Your pilot certificate and the training, checkout and maintenance records FAA rules require us to keep.

From other people

A member who adds you as a traveler; your organization, for a Business account; a broker or travel agent who books for you; another air carrier on a charter we arrange; and the government restricted-party lists we check before a flight (Charter Terms, Federally Restricted Traveler).

3Why we use it

  • To answer you, quote your trip and book it.
  • To run your account, bookings and payments, fly safely and meet the rules we fly under, as SoundPass Terms Section 13.2 sets out.
  • To match seats under SoundPass Terms Section 4.11.
  • To count where our passengers travel from, in totals and never by name, for tourism and air-service reports to public partners such as the City of Port Angeles.
  • To keep the website and app working and safe: stop automated sign-ups and form spam, fix errors, and see where people get stuck.
  • To send you service messages and, as section 6 explains, news and offers.
  • When the law requires it, or to protect passengers, crew, aircraft and our rights.

4Who we share it with

We do not sell your information. We do not share it for advertising.

We share it only to run the service, when the law requires it, or when you ask us to, within the limits of SoundPass Terms Section 13.3 and the Confidentiality section of the Charter Terms.

5Analytics, cookies and session recordings

PostHog runs on the website and the SoundPass app. Amplitude runs on the app. Both show us how pages are used: what people click, where they stop, and what breaks. Both can record a session, which lets us replay the clicks, scrolling and page changes of a visit.

Recordings mask what you type into forms, and they do not run on payment or identification screens. We use no advertising cookies and no ad networks.

If your browser sends a Global Privacy Control signal, we treat it as a request to turn analytics off. You can also block or delete cookies in your browser's settings.

ph_… (PostHog)

Recognizes your browser between visits so we can count visits and see a visit from page to page. Also kept in your browser's storage.

AMP_… (Amplitude)

The same, for the SoundPass app.

AMP_MKTG_… (Amplitude)

Records how you arrived: the site that sent you and any campaign tags in the link.

Sign-in and settings (SoundPass app)

Keeps you signed in and remembers where to take you after you sign in. The app needs these to work.

Form check (website and app)

Helps block automated form submissions. The forms need it to work.

Analytics on this browserOn

Turning analytics off stops PostHog and Amplitude in this browser and deletes their cookies. Sign-in and form-check storage stay because the site needs them. The same switch is in the SoundPass app under Settings.

6Email and other messages

Service messages

Sign-in links, booking confirmations, schedule changes and cancellations, Public Charter notices, receipts, invoices and membership renewal reminders. They are part of the service, so they come whether or not you take news and offers.

News and offers

If you have a SoundPass account or have flown with us, we may email you about our flights, programs and offers. Every one of these emails has an unsubscribe link, and unsubscribing does not stop service messages. If you only sent us a question through the website, we do not add you to news and offers unless you ask.

Phone

We use your phone number to reach you about an inquiry or a booked flight.

7Health and accessibility information

We do not ask for your medical history. Sometimes you tell us something health-related so we can fly you or your shipment properly: a wheelchair or other mobility need, a service animal, a medical device, or how a medical or lab shipment must be handled.

We use what you tell us only for that trip or shipment, share it only with the crew and the people handling it who need to know, and never use it for marketing. Please do not send us medical records.

8Children

SoundPass accounts are for adults (SoundPass Terms Schedules A.1 and B.1). Children fly as travelers on an adult's booking, and the adult gives us the details SoundPass Terms Section 3.6 and the Charter Terms require.

The website and app are not meant for children, and we do not knowingly collect information directly from a child under 13. If you think a child has given us information, tell us and we will delete it.

9How we protect it

  • You sign in to the SoundPass app with a link we email you. There is no password to guess or reuse, and each link works once.
  • Cards in the app are entered with Stripe, so the app does not store your full card number.
  • Only the people named on your account can get account, flight or billing information (SoundPass Terms Section 13.4; Charter Terms, Confidentiality).
  • Our team sees only what their job needs.

No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.

10How long we keep it

We keep information only as long as we need it to serve you or as long as the law requires, then delete it.

Questions and quote requests

2 years after our last contact, unless they become a booking.

Free SoundPass accounts

Deleted after 2 years without a sign-in. We email you first.

Closed SoundPass accounts

Profile, travelers and preferences deleted 90 days after the account closes.

Bookings, passenger and flight records, payments, escrow, Flight Credits and tax

As long as FAA, Department of Transportation, tax and accounting rules require, then deleted.

Copies of cards and photo IDs for a charter

Period to be set.

Analytics and session recordings

The analytics service's standard period.

Unsubscribes

We keep your email address on a do-not-email list so we do not write to you again.

11Your choices and rights

Wherever you live, you can:

See it

Ask what we hold about you and get a copy.

Correct it

Edit your profile and travelers in the SoundPass app, or ask us.

Delete it

Close your account in the app under Settings (SoundPass Terms Section 11.1), or ask us. We delete what we can and tell you what the law requires us to keep, such as records of flights taken and seat payments held in escrow.

Stop offers

Use the unsubscribe link in any offer email, or tell us.

Turn off analytics

Use the switch in section 5, the link in the site footer, or the app's Settings.

Say no to partners

We share with a partner only if you opt in, and you can withdraw at any time.

Change your seating preferences

Review, change or delete them in the app (SoundPass Terms Section 4.11(e)).

Use an agent

Someone you authorize in writing can make a request for you.

Using these rights costs nothing and does not change your price or the service you get. We may ask you to confirm a request from the email address on your account. We answer within 30 days. We follow the privacy laws that apply to us, and we give these rights to everyone, not only to residents of states that require them.

Make a request

Write the email

12Changes to this policy

When we change this policy, we change the date at the top. If a change affects how we use your information, we email account holders at least 15 days before it takes effect, matching SoundPass Terms Section 12.2. Earlier versions are available on request.
